Refund & Cancellation Policy — Spec Ops Paintball — Queensland

SPEC OPS PAINTBALL – REFUND & CANCELLATION POLICY

This policy applies to all sessions and activities offered at Spec Ops Paintball. All participants must complete the waiver before taking part in any activity.

1. Regular Session Bookings

Customers must provide a minimum of 72 hours notice to cancel or reschedule a booking.

Eligible refunds will be processed to the original payment method, less any applicable payment processing fees.

No refunds for late cancellations (under 72 hours), no-shows, change of mind, failure to meet age requirements, incomplete waivers, or unmet supervision requirements.

Partial refunds are not available for reduced player numbers that do not show up for the session.

Customers are responsible for confirming age eligibility before booking.

Rescheduling Conditions

Rescheduling is subject to availability and at the discretion of Spec Ops Paintball.

Rescheduled sessions must occur within 12 months of the original booking date.

Parent / Guardian Requirements

  • Minors under 18 must have a parent/guardian complete the waiver and attend check-in.
  • Children 12 and under require a parent/guardian to remain on-site for the entire session.
  • Failure to meet these requirements results in refusal of entry without refund.

2. Birthday Party Bookings

Birthday party bookings are subject to additional terms separate from standard session bookings.

Deposits and Payment

Birthday party bookings may require a deposit or prepayment at the time of booking. Final player numbers and payment requirements will be advised at the time of booking. If full payment is not received by the required date, Spec Ops Paintball reserves the right to cancel the booking and retain any deposit paid.

Minimum Numbers

All birthday party packages are subject to minimum player numbers. If fewer players attend on the day, the minimum booking charge still applies.

Cancellation and Rescheduling

Deposits and prepayments for birthday party bookings are generally non-refundable. Where a refund is applicable, it will be processed to the original payment method, less any applicable payment processing fees. Rescheduling requests should be made at least seven (7) days prior to the party date and are subject to availability and at Spec Ops Paintball’s discretion.

Late Changes and Non-Attendance

Final player numbers cannot be reduced within seven (7) days of the party date. Individual non-attendance on the day is non-refundable.

3. Multi-Visit Passes

  • Valid for 12 months from purchase.
  • Non-transferable and for individual use only.
  • Booking a session and not attending counts as a redeemed session.
  • Sessions are subject to availability.
  • No refunds offered.

4. Memberships

  • Non-refundable and non-transferable.
  • Benefits apply only as listed and may change; reasonable notice will be provided.
  • Membership benefits cannot be exchanged for cash or credits.
  • Members must meet all age, safety, and waiver requirements.

5. Late Arrivals

Participants may arrive late; however, they must wait for the next available safety briefing before entering the field. Late arrivals do not receive extra playing time. No refunds or extensions are provided for late arrivals.

6. Group Bookings

  • All group-rate bookings must be made as one single booking and paid as one group. Individual bookings cannot be combined to access group pricing.
  • Groups must notify us of any reduction in numbers at least 72 hours in advance.
  • If final numbers fall below the minimum required for group pricing, the booking will revert to the relevant standard per-person rate, or the group may choose to forfeit the cost of the missing participant(s) to retain the group rate.
  • Individual no-shows forfeit their booking.
  • Remaining participants may still attend the session.
  • Group pricing applies only when the minimum number of participants attends on the day.

7. Equipment Damage

  • Participants are responsible for damage caused to Spec Ops Paintball equipment during their session.
  • Replacement costs are charged at current retail price (RRP).
  • Damage assessments will be conducted by Spec Ops Paintball staff.
  • Equipment charges are separate from session fees and non-refundable.

8. Exceptional Circumstances

  • Government-mandated closures or restrictions: customers may reschedule within 12 months or receive a full refund.
  • Operational interruptions such as flooding, power outages, emergency directives, or safety concerns: customers may reschedule within 12 months or receive a full refund.
  • Severe weather warnings that affect safe operation may result in cancellation with a full refund or reschedule option.
  • Illness: considered case by case. A medical certificate from a registered practitioner must be provided before the session start time.

9. Gift Vouchers

  • Valid for 3 years from purchase.
  • Non-refundable but transferable.
  • Must be redeemed for services available at the time of use.

10. Legal Compliance

This policy applies unless otherwise required by Australian Consumer Law (ACL). ACL statutory rights apply regardless. Participation is subject to the Comprehensive Waiver.
